Pedal Power ACT cycle-ride tours are single or multi-day-rides away from Canberra (local or international) with an overnight stay conducted by a Pedal Power ACT accredited cycle-ride tour organiser and open to Pedal Power ACT members only.
To be a formal Pedal Power ACT event, the cycle-ride tour must be endorsed by the Tours Committee. Endorsement entitles the tour organiser(s) to advertise the tour as a Pedal Power ACT event, obtain assistance from Pedal Power ACT and gives the tour organiser(s) and/or ride leader(s) coverage under the Pedal Power ACT insurance (professional indemnity, volunteer and public liability cover). It is advisable to have your cycle-ride tour endorsed so that you are covered should things go wrong.
Accredited cycle-ride tour organisers
Accreditation as a cycle-ride tour organiser (criteria) is designed to assist with ensuring cycle-ride tour organisers are competent and are likely to conduct well run cycle-ride tours, and to mitigate risk (to Pedal Power ACT, the cycle-ride tour organisers and any ride leaders and other volunteers involved in the tour).
Cycle-ride tours categories
We have three categories of cycle-ride tour each with different characteristics and approval requirements:
Type 1 cycle-ride tours: A series of day rides somewhere with the tour organiser only organising the rides – participants get them selves there and back and arrange their own accommodation, meals, etc. There are no group payments and no fees with participants paying for everything directly themselves. The rides on the tour are treated as standard social day-rides.
Type 2 cycle-ride tours: A series of day ride somewhere with the tour organiser organising the rides and possibly the accommodation (some or all), meals (some or all), some transport (bus, train or car sharing) and other aspects of the tour. There are no group purchases and no fees for participation with the participants paying for everything directly themselves.
Type 3 cycle-ride tours: A multi-day ride somewhere with the tour organiser organising the rides and possibly the accommodation (some or all), meals (some or all), sag wagon (if required), community equipment (eg, first aid, sat phone), some transport (bus, train or car sharing) and other aspects of the tour. There are group purchases and fees are charged for participation – collected and dispersed by the tour organiser(s) for the communal expenses.
Tours open to non-members and/or are organised by third parties are ‘commercial events’ (whether there is a charge or not) and they are not ‘cycle-ride tours’. They are treated differently – contact the Pedal Power ACT office for further details.
Endorsement of cycle-ride tours
To obtain endorsement of your cycle-ride tour, so that it becomes a formal Pedal Power ACT event, complete a notice of intention to organise a cycle-ride tour and send it by email (as a PDF attachment) to the Tours Committee.
No advertising until endorsed – you can get expressions of interest for participation in a cycle-ride tour at any time. However, until it is endorsed (by the Tours Committee) it is not a formal Pedal Power ACT event and should not be advertised (on the website events calendar, in NewsWheel e-bulletin, in the Canberra Cyclist magazine, or elsewhere).
Other actions required for cycle-ride tour
Use the appropriate tour required steps check sheet to obtain guidance as to what steps are required to be undertaken to ensure that all things necessary are completed to meet the requirements for a Pedal Power ACT cycle-ride tour.

For Type 1 Cycle ride tours, after endorsement there are no further approvals required.
For Type 2 and Type 3 cycle-ride tours, after endorsement it is necessary to:
- Submit the ‘conditions of entry’ for the cycle-ride tour for approval before you accept registrations (as acceptance of the conditions by participants is necessary as part of the registration process) by email to the Tours Committee. - Submit the ‘risk management control measures’ for the cycle-ride tour by email to the Tours Committee for approval before the tour commences . Download ‘risk management control measures’ master document (*.doc format) and modify as required for the tour.
If there are significant changes to the cycle-ride tour, please advise as soon as practicable — by email to the Tours Committee .
Organise and conduct the cycle-ride tour generally in accordance with the details given to the Tours Committee and the other cycle-ride tour requirements (as given in the appropriate ‘tour required steps check sheet’).
After the cycle-ride tour is conducted
Report any adverse incidents during the cycle-ride tour using an incident report form submitted to the Pedal Power ACT office.
Advise that the cycle-ride tour was conducted, any adverse incidents that occurred and any suggest improvements to the cycle-ride tours process (to assist in improving the conduct of tours) by email to the Tours Committee.
Cycle-ride tour cancelled
If it is necessary to cancel the cycle-ride tour, the tour organiser must advise all people who have registered, place a notice to the website event page saying ‘the tour is cancelled’ and advise by email to the Tours Committee.
